What a missed call actually costs a UK trade business
10 July 2026 · 2 min read
Ask a plumber how many calls they miss a week and the honest answer is often "I don't know". Between being under a floor, driving between jobs and eating lunch with one hand, calls and forms can go unanswered without ever appearing in a sales report. If nobody logs them, nobody counts the cost.
Here is the maths, with every assumption visible so you can argue with it.
The four numbers that matter
- Enquiries per week. Calls, WhatsApps, form fills, the lot. Use a real four-week count if you have one.
- The share you miss or answer slowly. Rang out, went to voicemail, sat unread until the evening. Be honest.
- Your average job value. Not your biggest job. The boring middle one.
- Your close rate when you do answer. Of the enquiries you actually speak to, how many become paid work? Use your own figure or make a clearly labelled estimate.
Multiply them together with 4.33 weeks in a month and you get your monthly loss:
Enquiries × 4.33 × missed % × close rate × job value = money your competitor is invoicing.
A worked example
Take a heating engineer: 15 enquiries a week, 35 per cent missed or slow, £300 average job, 40 per cent close rate.
15 × 4.33 × 0.35 × 0.40 × £300 = £2,728 a month. Over a year that is £32,736, quietly, without a single bad review or lost customer you ever knew about.
Speed still matters. A 2011 Harvard Business Review study of 2,241 US companies found that contacting an online lead within an hour made qualification nearly seven times more likely than waiting one hour longer. It measured qualification rather than completed sales and was not a UK trades study, so we do not turn it into a made-up conversion guarantee. It does show why leaving a live enquiry until tonight is a risk. Read the original study summary.
What "slow" really means
A missed call is obvious. Slow is sneakier. A form fill answered the next morning is slow. A WhatsApp read at 8pm is slow. In the customer's head, the first business that responds properly is the serious one, and everyone after that is a backup quote.
That is why the fix is not "try harder to answer". You are on the tools; trying harder is not a system. The fix is making sure every enquiry gets a proper reply in under a minute whether you are free or not, which is exactly what an AI front desk does: text-back on missed calls, instant answers on webchat and forms, qualifying questions, and the job booked into your calendar before the customer rings anyone else.
Run your own numbers
Do not take the worked example's word for it. Put your own figures into the Lost Lead Calculator, argue with the sliders, and see what the number says. It is free and it takes about a minute. If the number is small, you genuinely do not need us. If it is not, you will know exactly what the problem is worth.
